How to Personalize a Van Donation Request
Many frats are hesitant to donate large vans due to the potential liability associated with them. Even for those that do, it can be expensive to insure such a vehicle. However, a large and well-maintained van could easily help your organization make the difference in fundraising and event success. Read on to learn more about how you can help.
The information provided by the donor enables Way to Go to title the vehicle in the organization’s name, as required by Virginia Department of Motor Vehicles prior to awarding it to a client (or delivering it to a wholesaler). It also allows Way to Go to produce IRS paperwork (Form 1098-C) if the donation is tax deductible.
Donors may choose to remove license plates or registration stickers either at the time of pickup or beforehand. The donor should keep copies of any maintenance records to support the fair market value claimed for their donation. IRS guidelines state that donors are responsible for establishing fair market value and may use dealer guides and “Blue Books” as a starting point.
The towing/vendor company will provide an initial donation receipt at the time of pick-up. Once the sale has taken place, the donor will receive a stewardship letter from Way to Go within 30 days of the vehicle sale date serving as their tax document if the donation is over $500.
Vans are often donated by businesses that are upgrading their fleet with newer vehicles, or getting a great deal on a trade-in. Depending on the reason, it may be that they are investing in better driver technology, improving route-guiding efficiency or are committed to reducing their carbon footprint.
The donor will be working directly with our vendor, CARS (Charitable Adult Rides & Services), who will provide the necessary documentation for tax purposes and sell the vehicle for funds to support your organization. CARS has many sales outlets and works hard to find the best buyer for your vehicle. They can accept cars, trucks, motorcycles, RVs, boats, snowmobiles, jet skis and tractors- in almost any condition.
State notification releases the donor from liability over the vehicle, including registration fees and insurance, after it is picked up. The exact process varies by state.
Depending on the state in which your vehicle is registered, you may need to surrender the vehicle’s license plates after it’s been picked up. You should receive an initial donation receipt from the tow driver at the time of pick-up that indicates your name, year, make and model. In addition, you should be mailed a thank-you letter on behalf of WFYI within 30 days that will serve as your final tax receipt if you are a registered donor. Personalizing your request for a donated van may open more doors than a generic email or form letter. This may also help you stand out among competing organizations seeking a van.
